Would you like to gain in house experience within the UK’s 9th biggest pension scheme? We currently have a vacancy for a Secretary to the Trustees, Pensions at our site in Farnborough.

As a Secretary to the Trustees, Pensions, you will be supporting the Trustee Services team and be trustee facing. A key part will be setting up meetings and diary management for trustee’s, planning and organising is key, setting up agendas and minute taking You will execute a high standard over all duties and handling of technical information.

This role will provide you with the option in pride of working for a quality pension secretarial services and will have the ability to have your own take in this department.You will be part of the expansion of a leading pensions team.

Your main responsibilities as a Secretary to the Trustees, Pensions will involve:

Planning and facilitating of all Board and sub-committee meetings

Preparing and distributing agenda packs, aligned to the forward-looking strategic business plans; coordinating actions

Taking and distributing minutes, and monitor progress of meeting actions

Preparing written resolutions of the Trustee and arrange execution of Deeds

Reviewing and responding to disputes (IDRPs); liaising with Trustees as determined

Managing and exercising discretionary decisions, liaising with Trustees and third party administrators as determined

Review and update Terms of References, decision making processes and delegated authorities;

Ensure BAE Systems pension schemes are compliance with all legislation and regulation (including requirements of Company law);

Deliver services set out in the Trustee: plc agreement;

Contributing to the development of the risk management framework and supporting governance projects, such as trustee effectiveness reviews, adviser and provider evaluations

Maintaining statutory books, records and accounts for Trustee Company including submissions required to Companies House, within deadlines stipulated

Supporting the Chair in relation to procedural issues and the conduct of meetings and dealing with all formal correspondence on behalf of the Trustee

Your skills and qualifications as a Secretary to the Trustees, Pensions:

Pensions Secretarial experience is a must have to be able to conduct the role responsibilities

Diary management

Arranging meetings, facilitation of pensions meetings, preparation and distribution of agendas

Detailed minute taking

Review and respond to pensions disputes and action as required

Continuous improvement experience would be desirable
