Based at our Fleet Place flagship office, Mott MacDonald are seeking an organised individual to provide administrative business support working as part of a small administrative team based in various locations but assisting a large engineering team including Senior Management in London. The successful candidate will be friendly and personable with a good understanding of IT systems and Microsoft Office packages. Strong organisational skills, flexibility, the ability to communicate effectively and respond quickly to requests are key attributes that will be necessary for this role.

A bit about your role

The successful candidate will have a fast-paced role, working as part of a local team and wider administration team to support the business with their administrative needs. Reporting to the Senior Administrator your duties will include but are not limited to:

  • If in contact with clients, ensuring that the company is represented to the highest standard with positive impact
  • Co-ordinating and assisting with new starter personnel
  • Responsible for managing archiving requirements, Personal Protective Equipment, pool laptops
  • Assisting with keeping training and appraisal statistics up-to-date
  • Arranging meetings and updating diaries as and when required
  • Arranging catering and refreshments for meetings when requested
  • Organising travel
  • Formatting reports and typing up various forms of correspondence
  • Collating information and data entry onto spreadsheets
  • Filing, answering phones and other ad hoc duties
